About the Job Full-time Administrative Assistant - Charities This full-time position is 40 hours per week and will be performed during normal business hours in our Phoenix, AZ Home Office; up to one day a week of remote work may be considered. Responsibilities include: The position will provide administrative duties for the Leadership Team (6 directors) and assist with planning and execution for offsite meetings. Based on the timing of offsite meetings, some weeks may require more (or less) time allocated to each function; the associate will need to manage duties accordingly. Admin functions (estimated at 30 hours per week):

• Manage calendars, plan, coordinate, and prepare for meetings and events, including catering when needed
• Manage different and often conflicting schedules, projects or activities, such as Charities department uniform orders, coordinating with vendors for consulting or offsite events, etc.
• Handle travel arrangements for directors
• P-Card management and expense reimbursement requests for directors
• Sort and deliver daily mail
• Process new hires & terminations in their area, including computers, phones, updating floor maps & other necessary administrative paperwork. Ensure associates have necessary supplies, nametags, business cards, etc.
• Department duties including preparing and sending kudoboards, attendance/support at department meetings, ordering supplies, etc.

Off-site program meetings (estimated at 10 hours per week):

• Plan, coordinate, and prepare for meetings and events
• Identifying and coordinating details with meeting location
• Scheduling caterers and dinner events
• Ordering supplies for meeting
• Coordinating hotel room blocks
• Assisting with communications for meeting attendees

Experience / Qualifications

• Minimum 3 years of experience as administrative assistant or similar role
• Must possess a "can-do" attitude with the ability to work well with all levels of internal management and staff, as well as outside clients and vendors
• This person must be very detail-oriented, a self-starter, maintain confidentiality, multitask, and work with minimal supervision.
• This person must have excellent interpersonal and communication skills, demonstrated problem solving, prioritization and organizational skills
• Experience managing and coordinating ad hoc project experience
• Proven MS Office skills required with an emphasis on PowerPoint, Outlook, Excel, Word and Adobe Acrobat
• Ability to work in a fast-paced environment
