We are looking for a Baltimore-based Personal Assistant to assist a CEO. This role involves a unique blend of personal and professional responsibilities, offering an immersive experience in the executive's day-to-day operations. Ideally, you're bright, personable, articulate, and proactive, with exceptional problem-solving skills and experience in supporting executives or creatives in a similar sector. You would support this executive in managing his home, managing meetings/interactions with multiple actors in the creative sector, and providing other related support.

Primary Responsibilities:

  • Maintaining a well-organized and presentable home environment by overseeing tidiness, ensuring common areas are orderly, and upholding a high standard of household upkeep and organization. Liaising with professionals for 2x/week cleaning.
  • Managing all packages delivered to the property and ensuring that these items are stored properly. You would then be responsible for advising on the action to take based on the content of relevant emails.
  • Overseeing upkeep needs, coordinating with service providers, and ensuring timely resolution of any related requests.
  • Overseeing meal planning and execution while ensuring alignment with strict dietary requirements and nutritional goals.
  • Serving as the executive's chauffeur, ensuring safe, timely, and efficient transportation to appointments, meetings, and other engagements.
  • Managing and facilitating communication on behalf of the principal with business associates, friends, family vendors, and support staff to ensure seamless coordination and effective information flow.
  • Managing the scheduling of key personal well-being appointments, including fitness, therapy, and other wellness sessions. Implementing an efficient reminder system to ensure the principal stays on track with these commitments and providing necessary support to facilitate attendance.
  • Responsible for communicating with the virtual bookkeeper to ensure that monthly expense reports are prepared and align with the budget.
  • Administrative duties: Occasional scanning or printing of confidential/private documents belonging to the executive and doing minor research to help with any urgent need.
  • Performing various errands around the city including pick up and drop offs at the dry cleaners, grocery runs, clothing stores, post office, etc.
  • Curating and managing thoughtful gifting on behalf of the executive, including selection, procurement, and timely delivery.
  • Hosting: Infrequently planning and managing both personal and professional events, such as home dinners or small events that the executive is hosting.
  • Project Support: Coordinating with relevant teams, managing project timelines, or handling communications around these projects. These could be creative, professional or personal projects.
  • Travel Requirements: Available to go on trips with the executive, when required and provide organizational support. The executive would need assistance with packing and unpacking when traveling.

Requirements:

  • Extremely organized, proactive, and highly self-sufficient, with the ability to take initiative and handle responsibilities independently.
  • Strong empathy, patience, and attentiveness, ensuring thoughtful and considerate interactions in all situations.
  • Exceptional reliability, maintaining consistency and dependability while managing tasks efficiently.
  • Outstanding excellent communication and interpersonal skills, fostering seamless interactions with individuals from diverse cultural backgrounds.
  • A natural problem-solver with resourcefulness and the ability to navigate challenges with confidence and creativity.
  • Highly adaptable and flexible, thriving in fast-paced environments while adjusting to evolving priorities with ease.
  • A positive presence, embodying cheerfulness and professionalism while providing unwavering support to the executive.
  • Strong sense of discretion, ensuring confidentiality and professionalism in handling sensitive matters.
  • Must hold a valid driver's license and have reliable personal transportation for seamless mobility.
  • Willing and available to travel as required, maintaining efficiency and effectiveness on the go.
