DEFINITION

Under general supervision, to perform specialized and responsible clerical and secretarial functions in an elementary or middle school setting; to relieve the school administrator of clerical detail and to perform routine administrative aide functions; and assign duties to all clerical personnel in the school office; and to do other related work as required. The School Secretary II classification is distinguished from other clerical classifications in that personnel assigned to this position perform the duties with a greater degree of independent judgment, technical knowledge, and initiative, with a minimum of direction and supervision.

EXAMPLES OF DUTIES

  • Serves as a personal secretary and office management aide.
  • Reviews and screens incoming correspondence and communications routed to the school administrator.
  • Refers specific communications or correspondence to appropriate staff members and other clerical personnel for the gathering of data for the administrator’s review.
  • Trains other office clerical staff.
  • Schedules and assigns all duties to clerical staff members.
  • Initiates follow-up activities and audits and monitors school clerical functions to ensure that operational time lines are met.
  • Arranges correspondence for supervisor’s personal reply with appropriate background materials.
  • Independently or in accordance with general instructions, composes correspondence concerning a wide range of subjects requiring a thorough knowledge of policies, regulations, and operational procedures.
  • Reviews outgoing correspondence and other materials to ensure consistency with policies, regulations, operational procedures, formatting, grammatical construction, and punctuation.
  • Take notes of meetings and conferences, and prepares accurate summaries.
  • May administer minor first aid to students and contacts parents and emergency assistance agencies in the cases of serious illness or injury.
  • Serves as an administrative aide by receiving and responding to inquiries from either office visitors or from telephone contacts.
  • Prepares input data for a computerized record management, storage, and retrieval system, and utilizes the output reports in the office operational functions.
  • Requisitions, orders, and maintains an adequate inventory of supplies and instructional materials.
  • Maintains a variety of records and files, that include student, personnel, budget, expenditure, payroll, and a variety of other related records and files.
  • Schedules and organizes the school office clerical functions, and provides input concerning the technical evaluation of the other clerical staff.
  • Assists in the scheduling of school facilities pertaining to civic center use.
  • Assists with the school budget planning and expenditure control processes.
  • Performs other related duties as required.

QUALIFICATIONS

Knowledge of:

  • Office organization and lead clerical practices, methods and techniques;
  • Modern office methods and equipment, including automated record management and filing systems, receptionist and telephone techniques, correspondence and report writing;
  • Employee motivation and leadership methods, procedures and strategies;
  • English usage, grammar, spelling, and punctuation;
  • Basic first aid methods, procedures, and techniques.

Ability to:

  • Interpret, and apply legal mandates, policies, rules and regulations, and operational procedures pertaining to a school operation;
  • Perform all duties in a professional and confidential manner;
  • Effectively and efficiently operate computer terminals and micro-computers, and utilize appropriate application software;
  • Compose correspondence independently;
  • Establish and maintain comprehensive and accurate files and records, and prepare concise and complete reports as required;
  • Type or keyboard at a net corrected speed of 50 words per minute;
  • Make arithmetical calculations with speed and accuracy;
  • Understand and carry out oral and written directions;
  • Establish and maintain cooperative working relationships;
  • Communicate effectively with students, parents, and the community.

PHYSICAL DEMANDS

The physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out essential job functions.

  • Persons performing service in this position classification will exert 10 to 20 pounds of force frequently to lift, carry, push, pull or otherwise move objects.
  • This type of work involves sitting, but may involve walking or standing for brief periods.
  • Perceiving the nature of sound, near and far vision, depth perception, providing oral information, the manual dexterity to operate business related equipment, and handle and work with various materials and objects are important aspects of this job.

Experience and Education

Experience:

Three years of responsible and varied secretarial and clerical experience, preferably including one year of clerical experience in an educational organization.

Education:

Equivalent to the completion of the twelfth grade, including or supplemented by coursework in shorthand, typing, data entry, office management, or other related skill areas.

Certificate Requirement

Must obtain within six (6) months of employment a first aid certificate issued by the American Red Cross, including CPR training.
