Job Title: Bookkeeper Assistant & Farm Office Associate
Position Type: Full-Time Only on site

Position Summary:
As a Full Charge Bookkeeper & Farm Office Associate, you will play a pivotal role in ensuring the financial health and operational efficiency of the company. In this dual capacity, you will manage all bookkeeping and accounting functions while supporting day-to-day office activities. You will work closely with our management team to drive business objectives and help facilitate seamless communication and operations across departments.

Key Responsibilities:

Accounting & Bookkeeping:

  • Oversee the preparation and enforcement of accounting policies and procedures, ensuring compliance with internal controls.
  • Manage daily accounting tasks including accounts payable, accounts receivable, payroll, and bank reconciliations.
  • Utilize QuickBooks to maintain accurate general ledger entries, track financial transactions, and monitor the financial status of the company.
  • Prepare timely and accurate financial statements, reports, and forecasts for management review.
  • Analyze financial performance and present variance reports, identifying trends, opportunities, and potential concerns.
  • Coordinate external audits and manage tax filings in compliance with government regulations.
  • Assist in the preparation of annual budgets and financial projections.

Farm Office Operations:

  • Provide exceptional customer service by answering phones, managing inquiries, and building strong relationships with vendors, clients, and team members.
  • Accurately input orders, generate invoices, and maintain essential crop and production records.
  • Organize and schedule appointments, shipments, and logistics, ensuring efficient and timely operations.
  • Monitor inventory levels for packaging supplies and roll product labels as needed.
  • Conduct field, warehouse, and housing checks to ensure compliance with operational standards.
  • Assist with miscellaneous office and farm tasks to support day-to-day activities and contribute to the overall efficiency of operations.

General Administrative Support:

  • Provide administrative assistance to various departments to ensure smooth and efficient office operations.
  • Collaborate with management to drive process improvements and resolve challenges that may arise.
  • Demonstrate flexibility and initiative in a fast-paced, evolving environment.

Qualifications:

  • Experience with QuickBooks is required to successfully manage accounting functions and ensure accuracy in financial reporting.
  • Bachelor’s degree in Accounting, Business Administration, or a related field preferred.
  • A minimum of 5+ years of hands-on accounting experience, particularly in managing full charge bookkeeping for a major company or division.
  • Strong proficiency with Microsoft Excel and Word; advanced skills in 10-key data entry.
  • Detail-oriented with the ability to multitask and meet deadlines in a dynamic, fast-paced environment.
  • Strong analytical skills, with the ability to identify trends and financial opportunities.
  • Excellent verbal and written communication skills, with the ability to collaborate effectively with diverse teams.
  • Previous experience in a culturally diverse environment is an advantage.
  • Spanish-speaking skills are a plus but not required.

Compensation & Benefits:

  • Pay: Starting at $25 to $30/hour, based on experience.
  • Benefits: 40 hours of accrued sick leave, medical insurance plans available.
  • Working Conditions: Primarily office-based with occasional fieldwork and travel. Casual work attire is encouraged, as we maintain a comfortable and flexible work environment.
